Overview

When a new lead reaches out via web chat, timely notifications are crucial for quick follow-up. The Web Chat Lead Notification Workflow Recipe is a two-part workflow designed to alert your team instantly when a new lead arrives, ensuring they’re ready to respond—even when away from their computer.

With Part 1, the workflow sends lead information captured from Inbox Pro AI Webchat via an internal process that triggers Part 2. In Part 2, this information is sent as an SMS notification to a designated team member, so they’re promptly notified on their mobile device. Once set up, both parts work together to deliver instant, hands-free lead alerts.

Setup Instructions

Follow these steps to set up the Web Chat Lead Notification Workflow Recipe:

  1. Log in to the Business App
    Begin by logging in to your Business App and navigating to the Automations tab.
  2. Import Part 1 of the Workflow
    • In the Automations tab, select Create an Automation.
    • Choose Part 1 of the SMS Lead Notification Workflow from the template library and select Use Template.
    • Once Part 1 is added to your library, you’ll see a simple workflow. Note that the third step will require some updates.
  3. Import Part 2 of the Workflow
    • Now, return to the Automations tab and select Create an Automation again.
    • This time, select Part 2 of the SMS Lead Notification Workflow from the template library. This step is required to complete the notification process.
  4. Copy the Webhook URL from Part 2
    • Open Part 2 of the workflow and locate the Webhook URL under the trigger settings.
    • Copy this URL, as you’ll need it to complete the configuration in Part 1.
  5. Update Part 1 with the Webhook URL
    • Go back to Part 1 and edit the third step of the workflow.
    • Replace the placeholder URL (placeholder.com) with the Webhook URL you copied from Part 2.
    • Save your changes.
  6. Create a Contact for SMS Notifications
    • Navigate to the Contacts section in Business App and create a new contact for the team member who should receive the SMS notifications.
    • Once the contact is created, open their profile, and in the address bar of your browser, locate the Contact ID at the end of the URL. Copy this Contact ID to your clipboard.
  7. Update Part 1 with the Contact ID
    • Return to Part 1 of the workflow and edit the JSON Body in the third step.
    • Find the placeholder for the Contact ID and replace it with the Contact ID you copied. This directs the SMS notifications to the correct team member.
    • Save your changes.
  8. Enable the Workflow and Set Notification Frequency
    • In Part 1, select Enable Workflow and set it to trigger Multiple Times per Contact. This way, the team receives a notification each time a lead submits an inquiry, even if it’s from the same individual.
    • Repeat this process in Part 2, selecting Enable Workflow and Multiple Times per Entity to ensure all SMS notifications are sent for each lead inquiry.

With both parts enabled, your setup is complete! Now, each time someone submits a lead through web chat, an SMS containing the lead information will be sent to the designated team member.
